Build a reliable, compliant supply chain. The Contractors area is your live directory of trades, rates, certifications, jobs, and performance—so every repair, safety check, and refurb runs like clockwork.
What you can do
- Vendor directory – Create contractors by trade (Gas, Electrical, Plumbing, Joinery, Cleaning, Void Works, etc.), add coverage areas, emergency availability, and contact routes.
- Compliance-first onboarding – Capture insurances and credentials with expiry tracking: Public Liability/PI, Gas Safe, NICEIC, FENSA, CHAS/SafeContractor, DBS/right-to-work, RAMS and risk assessments. Get alerts before anything lapses.
- Rates & SLAs – Store call-out fees, hourly/day rates, out-of-hours pricing, and target response/repair times per trade or branch.
- Work orders – Raise jobs from Properties/Tenants, attach photos and access info, set priority, and assign to one or more contractors.
- Accept/ETA/Complete – Contractors accept or decline, provide ETA, check-in/out, upload before/after photos, notes, and completion certificates.
- Quotes & variations – Request quotes, compare, approve, and track scope changes with a clear audit trail.
- Approvals & sign-off – Manager sign-off with snag lists; generate completion records that flow into Finances.
- Invoices inside the app – Contractors submit invoices against the job; reconcile to work orders and view status (pending/approved/paid) without leaving the page.
- Performance tracking – First-time fix rate, average response and completion time, callback rate, and satisfaction scores—filter by trade, branch, or contractor.
- Comms & files – Threaded notes, @mentions, and attachments (RAMS, permits, warranties). Everything stays with the job and the property record.
- Calendar integration – Scheduled visits appear on the Calendar and in the Tenants/Properties timelines; reschedule with drag-and-drop.
- Lists & permissions – Mark Preferred or Blocked, set spend limits, and restrict visibility by branch or role.
